Creating New Users

Note: Before starting this process, you may first want to review an existing User file and take note of the settings (i.e. e-Quinox Directory, User Department, Office, etc). The e-Quinox User screen is accessed through the Maintain Timekeeper Information screen.

Follow the menu path:

Maintenance --> Timekeeper --> Maintain Timekeeper Information

  • Once the screen has been launched, query up an existing Timekeeper Record by pressing [F7] + [F8]
  • At the bottom of the screen, click the Database User button
  • The e-Quinox User screen will launch and display user information for the Timekeeper queried up in the previous screen
  • Record the details so you can reference them when creating a new User

Before the person can be created as a User, they must first be created in the system as an Entity.

Follow the path:

Maintenance --> Entity --> Maintain Entity

  • When the Maintain Entity screen opens, enter the new User's name in the top block of the screen
  • Address, Telephone, and Email information can be added at this time, but it is not required
  • Press [F10] to Save the new Entity
  • Close the Maintain Entity screen

The new Entity must now be assigned the role of Timekeeper.

Follow the path:

Maintenance --> Entity --> Entity Manager

  • When the Entity Manager screen opens, query up the new Entity that was just created
  • Highlight that record in the middle block of the screen, and then click on the Timekeeper button on the bottom of the screen
  • As the Maintain Timekeeper Information screen launches, you will be presented with a message box that reads, "[NAME] does not exist as a Timekeeper. Do you wish to create?". Click Yes to continue.
  • The Entity's name will then be displayed in the Timekeeper field in the Maintain Timekeeper Information screen
  • You must now enter the details for this Timekeeper
  • When all required fields have been entered (required fields are indicated by dark blue text), press [F10] to save the timekeeper information, but do not exit the screen

The Timekeeper must now be created as an e-Quinox User.

  • Click the Database User button at the bottom of the Maintain Timekeeper Information screen
  • The e-Quinox User screen will open, and the Timekeeper No and Timekeeper Name fields will already be populated with information, as taken from the Maintain Timekeeper Information screen Assign the User a User ID; this ID will be their login to access e-Quinox
  • Enter the e-Quinox Directory, and User Department and Office (using the notes taken earlier as a reference, if needed)
  • Assign the new User a Menu Role(s) and a System Role(s)
  • Create the new User's password (this is their login password, to be used with their ID)
  • Press [F10] to Save

You can now have the new User login to the e-Quinox system using the Login ID and Password you just assigned them.
